What Zapier really costs a small business (it's not the plan price)
Zapier's paid plans start at US$19.99 a month. For most small businesses, the bigger cost is the time spent building, checking and fixing the automations. Here's how to work out your real number.
Zapier is a good tool, and its price looks small. But the plan price is the smaller part of what most small businesses actually pay. The bigger part is time: someone has to build each automation, watch it, and fix it when it breaks.
This guide covers the price on Zapier's website, then the costs that don't appear on the invoice.
The price on the website
From Zapier's pricing page, as of October 2026. Zapier bills in US dollars.
| Plan | Price per month | Tasks included per month |
|---|---|---|
| Free | US$0 | 100 |
| Professional | from US$19.99 billed yearly, or US$29.99 billed monthly | from 750 |
| Team | from US$69 billed yearly, or US$103.50 billed monthly | from 2,000 |
| Enterprise | quoted by Zapier | custom |
A task is one completed step. If an automation reads an email, adds a row to a sheet and sends a message, that's up to three tasks every time it runs. Higher task tiers cost more. On paid plans you can switch on pay-per-task if you go over your limit, at a higher rate per task. On the free plan, automations simply stop until next month.
So the plan cost depends on how much your automations do, and it grows as your business does. That part is easy to estimate. The rest isn't.
The costs that aren't on the invoice
1. Building it
Someone has to learn the tool, map out the steps, connect each app and test it. For a simple two-step automation, that's an afternoon. For anything that reads documents, makes decisions or touches several systems, it can be days. If that person is you, it's days not spent running the business.
2. Checking it
Once it's live, somebody has to look at the history now and then to make sure it's still doing the right thing. Most people stop doing this after the first few weeks.
3. Fixing it
Automations break when the things they connect to change: a supplier's website, a password, a spreadsheet column, a form. (Here's why that happens.)
Zapier will tell you about some of this. By its own help pages, it turns an automation off if it fails 95% of the time over more than 20 runs in a week. Team and Enterprise accounts get an email and a short grace period first. Then someone has to work out what changed and fix it.
4. The mistakes you don't see
The costliest break is the one with no error: the automation runs, but reads the wrong number or sends the wrong message. You pay for that later, in a refund, an awkward call or an accounting correction.
5. The one person who understands it
Most small businesses end up with one person who built the automations and is the only one who can fix them. When they're on leave or leave the company, the automations become a risk.
Working out your real number
Here's a simple way to estimate it for your business. The numbers below are an example, not a quote. Use your own.
| Item | Example |
|---|---|
| Plan | US$29.99 a month (Professional, billed monthly) |
| Building | 2 days of a manager's time, once |
| Checking | 1 hour a month |
| Fixing | 3 hours a month on average, more in a bad month |
| Mistakes | Whatever one wrong invoice or missed order costs you |
If that manager's time is worth S$50 an hour, four hours a month of checking and fixing is S$200 a month. That is several times the plan price, before counting the build or any mistakes.
None of this means Zapier is a bad choice. For simple, stable tasks, like "new form entry goes into a spreadsheet", the upkeep is close to zero and Zapier is cheap and quick. The upkeep grows when the automation reads documents, makes decisions, or depends on websites and files that change.
The other option: pay for it to keep working
The alternative is to have the automation built and maintained for you. You pay a monthly fee, and the hours above become someone else's job.
That's what Scribe.sg does. You tell us what your team retypes. Our team builds the workflow, checks it with you on your own data, then runs it and keeps it working. We watch every run, fix it when something changes, test the fix on real work, and tell you what happened.
It costs more than a Zapier plan. Compare it with the plan price plus the hours, not the plan price alone.
