Zapier alternatives for small businesses: who keeps it working?
Make, n8n and Power Automate are all good Zapier alternatives, and all of them leave the upkeep with you. Here's how they compare, and when AI workflow automation that someone else maintains is the better fit.
If you've looked into automating part of your business, you've met Zapier, and probably its alternatives: Make, n8n, Power Automate. They're good tools. Comparison pages will tell you which has more apps, the nicer builder or the lower price per task.
They mostly skip the question that decides whether an automation actually saves you time: when it breaks, who fixes it?
Zapier alternatives compared: who builds it, who fixes it
| Option | Who builds it | Who fixes it when it breaks | Best for |
|---|---|---|---|
| Zapier | You | You | Simple app-to-app tasks, the widest choice of apps |
| Make | You | You | More complex flows, if you like a visual builder |
| n8n | You, or a developer | You, or a developer | Technical teams who want to host it themselves |
| Power Automate | You, or your IT team | You, or your IT team | Businesses that run on Microsoft 365 |
| A freelancer on any of the above | The freelancer | You, or the freelancer again at their hourly rate | A one-off build with someone on call |
| Done-for-you (like Scribe.sg) | The service | The service, as part of the monthly fee | Teams who want the work done, not a new tool to run |
The first four are all do-it-yourself platforms. Switching between them changes the builder, not who does the upkeep.
What do-it-yourself automation is great at
Tools like Zapier shine when the task is a clean hand-off that follows fixed rules:
- New form entry → add a row to a spreadsheet.
- New payment → send a message to the team.
- New calendar event → create a task.
If your need looks like that, a do-it-yourself tool is fast and cheap. Use one. Simple, stable tasks like these rarely break.
Where it gets hard
The trouble starts when a step needs a decision:
- "Read this emailed order and pull out the line items."
- "Reply to this customer in our tone, but pass anything sensitive to a person."
- "Chase this invoice, unless it's disputed."
You can add AI to a do-it-yourself tool, but now you own the instructions, the odd cases, the testing and the 2am breakages. The tool didn't get simpler. The work moved to you.
The real question: who maintains it?
Building an automation is the easy 20%. The other 80% is keeping it working as your tools, your data and your business change. A supplier changes their invoice layout. A password expires. A website gets redesigned. (Here's why automations break.)
With a do-it-yourself platform, keeping it working is your team's job, forever. That cost doesn't show up on the pricing page. (What Zapier really costs a small business.)
With Scribe.sg, it's ours. We build the AI workflow, check it with you on your own data, and then keep it working. We watch every run. When something breaks, our team finds the cause, fixes it, tests the fix on real work, and tells you what happened.
Hiring a Zapier expert or n8n consultant instead?
That's a sensible middle path if you want to keep your tool and borrow the skill. Ask one question before you hire: what happens in month three, when it breaks? If the answer is "call me and I'll bill the hours", you've hired a builder, not someone to maintain it.
A simple rule of thumb
- Simple, stable, app-to-app, and someone on your team will look after it? Zapier or one of its alternatives is the right call.
- Needs judgement, changes often, or you don't want to own the upkeep? That's what done-for-you AI workflows are for. We build, run and maintain them, so you don't end up running an automation team.
